Simple yet powerful Herning Vand’s Check-In Solution

Many organizations are slowly turning to digital check-in solutions, but Herning Vand needed something more. They needed an efficient way of check-in that would also help with their unique challenges. We worked together and created a solution that does just that.

Difficulty Managing the Visitor Flow

Herning Vand was looking for a better way to check in and identify visitors. Their facility welcomes a variety of guests, including school groups, carpenters, and business meetings, each with different requirements.
They needed a check-in system that could:

  • Differentiate between visitor types
  • Provide different safety information based on visitor types
  • Create visitor identification
  • Track visits


NordicScreen was tasked with creating a solution that could do all of the above, without adding difficulty for visitors or staff.

The Solution: Smart Check-In with Customization

While a standard check-in system can solve a part of their problem, in order to cover all the required points we had to design a tailored solution.

One Check-In, Three Different Experiences

It was important for Herning Vand to differentiate between types of visitors, so we made it extremely easy to do so.When encountering the check-in, the visitor immediately chooses what type of visit they came for.
Based on their selection, they are guided through a customized process with relevant instructions and requirements.
Meeting Guests: Business guests enter their name and company details on the touchscreen. Their information is instantly printed on a nametag, followed by a welcome screen reminding them to wear the sticker for easy identification.

School Groups: Accompanying teachers enter their contact details and receive on-screen safety instructions to share with students, including reminders to wear safety vests and directions on where to collect them.

Contractors & Carpenters: These visitors provide basic contact details, including a phone number. On which they then receive an SMS with a link to detailed safety guidelines, that must be read through and followed before starting any work.

All visitors are prompted to check out upon leaving, which gives Herning Vand an overview of all visits for an increased level of security.

The Results: Efficiency, Safety, and Peace of Mind

With this check-in solution in place, Herning Vand now enjoys a structured visitor flow. Each guest is efficiently registered, properly briefed, and accounted for,all without adding extra workload to reception staff.
